Vinyl Record Donations We Accept

Vinyl donations can include LPs, singles, 45s, extended plays, picture discs, coloured vinyl, special editions and box sets. Individual records need suitable protection, while box sets and multi-record collections may include several records, sleeves, books, inserts or outer packaging that should stay together.

The sections below explain the types of vinyl records we accept and what to check before adding them to your pickup request.

Why Condition Matters

Vinyl records can only be reused when they are clean, protected and playable.

Records should be free from cracks, severe warping, deep scratches, heavy contamination and other damage that prevents normal use.

Jackets and sleeves may show ordinary shelf wear as long as they continue to protect and identify the correct record. Light surface marks may be acceptable when the record remains playable.

We reserve the right to decline records at pickup if they are seriously damaged, mouldy, contaminated, unidentifiable or improperly packed.

Records in Original Jackets

Original jackets and sleeves are preferred because they protect the vinyl and identify the release.

We accept records in:

  • Standard cardboard jackets
  • Gatefold jackets
  • Box-set packaging
  • Picture sleeves
  • Replacement jackets
  • Protective outer sleeves
  • Plain replacement covers
  • Record-company sleeves

Jackets may have ordinary scuffs, writing, stickers, split seams or shelf wear as long as the record remains protected.

Records Without Their Original Jackets

Records without their original jackets may qualify when they are:

  • Clearly identified
  • Protected in individual inner sleeves
  • Stored in replacement covers
  • Free from serious damage
  • Packed upright
  • Included as part of a larger qualifying collection

Do not stack unprotected records together.

Tell us approximately how many records without original jackets are included when submitting your pickup request.

Inner Sleeves, Inserts & Packaging

Keep the following with the matching record whenever available:

  • Inner sleeves

  • Posters
  • Booklets
  • Photographs
  • Stickers
  • Download cards
  • Certificates
  • Promotional inserts
  • Slipcovers
  • Outer boxes
  • Collector packaging

Missing inserts do not automatically disqualify a record, but complete packaging helps protect and identify the collection.

Vinyl Record Donations We Cannot Accept

We cannot accept records that are unsafe, unusable, heavily contaminated, unidentifiable or improperly prepared.

Please do not donate:

  • Cracked or broken records
  • Severely warped records
  • Records with deep scratches or gouges that prevent normal use
  • Records affected by mould or serious moisture damage
  • Records with sticky residue, paint, grease or chemicals
  • Records damaged by excessive heat
  • Records with severe peeling or surface deterioration
  • Large quantities of loose, unidentified records
  • Records packed without sleeves or protection
  • Records packed flat in unstable piles
  • Empty record jackets with no records
  • Boxes containing broken glass, sharp plastic or unsafe materials
  • Wet, damaged or collapsing boxes
  • Boxes that are too heavy to lift safely
  • Records left loose or exposed to weather
  • Items that have not been prepared for pickup

Items that do not meet our donation standards may be declined at pickup.

How Many Vinyl Records Are Needed for Pickup?

Our pickup service is intended for donations that reasonably justify sending a vehicle to your location.

One or two records will usually not be enough on their own. Several boxes, a larger record collection or a mixed donation containing vinyl and other accepted items is more likely to qualify.

When completing the pickup form, provide your best estimate of:

  • The approximate number of records
  • The number of boxes, crates or storage containers
  • Whether the records have jackets
  • The number of records in replacement sleeves
  • The number of box sets
  • The general types of music included
  • Whether the donation includes other accepted items

For larger collections, an exact count is not required.

You may describe the donation by the number of boxes, shelves, cabinets, milk crates or record-storage units.

How to Prepare Vinyl Records for Donation Pickup

Please prepare your vinyl records before your scheduled pickup.

Inspect the records: Check each record when practical for cracks, severe warping, deep scratches, mould, moisture and heavy contamination. Remove records that are unsafe or seriously damaged.

Match records with their jackets: Place each record in its matching jacket whenever possible. Make sure the correct record is inside the correct cover.

Use inner sleeves: Keep each record inside a clean paper, plastic or replacement inner sleeve. Do not place unprotected vinyl directly against another record.

Keep box sets together: Keep all records from the same box set or multi-record package together. Include all available books, inserts, posters and outer packaging.

Protect records without jackets: Place records without original covers in individual inner sleeves and sturdy replacement jackets. Clearly identify them whenever possible.

Pack records upright: Place records vertically in strong, properly sized boxes. Pack them the same way they would sit on a shelf.

Do not stack records flat: Large flat stacks can place too much weight on the records and increase the risk of warping or damage.

Do not overpack: Records become heavy quickly. Each box must remain safe for one person to lift. Use additional smaller boxes instead of filling one oversized container.

Prevent leaning and movement: Pack records firmly enough to remain upright, but do not force them into the box. Use clean cardboard dividers or packing paper to fill extra space.

Protect the jackets: Avoid packing records so tightly that the covers bend, split or crush. Keep fragile picture sleeves and special packaging protected.

Label every box: Use simple descriptions such as Vinyl Records, LPs, 45s, Box Sets, Classical Records or Records in Replacement Sleeves. Include an approximate quantity when possible.

Keep records dry: Store packed records indoors, in a dry garage or in another protected location until pickup. Do not leave records exposed to rain, snow, damp ground, direct heat or outdoor moisture.

Separate unusable records: Do not mix cracked, mouldy, contaminated or severely damaged records with the reusable collection.

For complete instructions, review our how to prepare your donations page before pickup.

How Vinyl Record Donation Pickup Works

Step 1: Submit your pickup request: Complete the online form and provide your location, approximate number of records, number of boxes or crates and any important access information. Mention any large collections, box sets, records without jackets or additional donation categories.

Step 2: We review your donation: We review your service location, approximate record quantity, number and size of boxes, how the collection is packed, overall condition, other accepted items included, available vehicle space and current route availability. We may contact you by email if more information or photos are needed.

Step 3: Receive email confirmation: Your pickup is only scheduled after you receive confirmation by email. Preferred dates and times submitted through the form are requests and are not automatically secured.

Step 4: Prepare and stage your records: Inspect, organize and pack the records upright in strong, manageable boxes. Move all approved donations to the agreed pickup location and make sure the boxes are visible and clearly separated from anything that should not be collected.

Step 5: We collect the approved records: Once your pickup is confirmed, our team will collect the approved vinyl records. Items that are seriously damaged, mouldy, contaminated, improperly packed or significantly different from what was described may be declined.
